Migration cleanup, plainly: a migration moves the data, and cleanup fixes what the move got wrong. It works from two files at once, your current QuickBooks Online file and the original Desktop file or source data, and compares them to find every gap. It doesn’t matter who did the original conversion. A do-it-yourself move, a previous bookkeeper or another provider can all leave a file that needs the same repair.
The signs of a botched conversion are specific. Customers, vendors or items came across doubled, merged or renamed, so the same customer appears three times. Balances, reconciliation, receivables or payables don’t tie. Bank feeds, payroll and payment apps didn’t follow the file, or reconnected wrong. Recurring transactions and memorized reports didn’t convert. Inventory quantities or values landed wrong. Any one of them is a reason to check the whole file.
A conversion can damage six areas, and a cleanup works through only the ones your file needs. It starts with balances and reconciliation: opening balances corrected to the source, then bank, credit-card and balance-sheet accounts re-reconciled to statements. Next come lists and items: duplicates merged, and products re-mapped to the right income, cost of goods and tax accounts, so transactions stop landing in suspense.
Receivables and payables often convert as lump-sum summaries instead of individual open invoices and bills. The aging report then stops tying to the balance sheet, and you can’t collect or pay against real detail, only a single opening-balance line. The cleanup re-establishes each open invoice and bill as its own transaction, so the aging ties again and every customer and vendor balance can be worked item by item.
Inventory needs its own attention because the costing method changes in the move. QuickBooks Desktop uses weighted-average costing, while QuickBooks Online uses FIFO, so stock values and cost of goods sold can land untrustworthy after conversion. The cleanup corrects items, quantities and valuation to the source basis, reconciles the weighted-average to FIFO change, and documents every adjustment. For a product business, it is a serious problem to leave alone.
Integrations are the next thing to break. Bank feeds get reconnected first, then payroll, payments, e-commerce, receipt-capture and reporting apps are reconnected and reconfigured for Online. Sales tax deserves a separate check: Online uses a different sales-tax model, and misconfiguration after a conversion is frequent. The feeds matter because everything recorded after the cleanup depends on them. A file that is correct today but fed wrong tomorrow drifts again.
Workflows and reports are the last layer. Recurring transactions, memorized reports, custom forms, classes, locations and user roles often don’t convert, so basic tasks suddenly take twice as long. The cleanup rebuilds them for Online, and reconstructs payroll history and year-to-date figures where the conversion left them blank. The aim is day-to-day work that runs the way it did before the move, or better.
