QuickBooks Error H202: what it means & how to fix it.

H202 means QuickBooks is in multi-user mode but a workstation can’t reach the server hosting the company file — a multi-user error in Desktop, Premier, and Enterprise that Intuit groups with H505, H101, and H303. Below: five causes, the six-step self-fix, and when to call a QuickBooks ProAdvisor.

TL;DR

Error H202 appears when QuickBooks is set to multi-user mode but a workstation cannot establish the connection to the host computer that stores the company file — the workstation can see the file exists, but multi-user access fails. Five causes are below, with a six-step self-fix that starts where Intuit’s own H202 article does: the Database Server Manager scan in QuickBooks Tool Hub. H202 is exclusive to QuickBooks Desktop, Premier, and Enterprise — it does not appear in QuickBooks Online.

Quick answers

Error H202, in five questions.

What is QuickBooks Error H202?

A QuickBooks multi-user error: the workstation can see the company file exists on a host computer but can’t establish the multi-user connection. Exclusive to QuickBooks Desktop, Premier, and Enterprise — it does not occur in QuickBooks Online.

What causes Error H202?

Intuit says H202 occurs when something blocks the multi-user connection to your server computer. Five causes that fit Intuit’s fix steps: (1) Database Server Manager or its services not running on the server; (2) a firewall blocking QuickBooks; (3) the workstation can’t reach the server over the network; (4) hosting set on a workstation instead of only the server; (5) damaged network-data (.ND) files.

Can I fix H202 myself?

You can try, in Intuit’s order: on the server, run the QuickBooks Database Server Manager scan from QuickBooks Tool Hub (Network Issues tab), then File Doctor’s network check; verify the QuickBooksDBXX and QBCFMonitorService services on the server; add firewall rules for the QuickBooks port shown in Database Server Manager; ping the server by name from each workstation. Then check hosting on each machine and rename the .ND files and rescan.

When does H202 need a ProAdvisor?

When self-fix doesn’t resolve it within an hour or two, the error recurs within days, multiple workstations show H202 at once, you lack admin access to the host or firewall, or H202 appears alongside other errors — a signal of deeper file-integrity issues.

How is H202 different from H505 and H101?

Intuit groups them: all block the multi-user connection to the server. H202: the workstation can’t connect to the host. H505 and H101 (with H303): Intuit says one or more workstations is set to be the server for QuickBooks — only the server should host multi-user access. Intuit’s H202 and H505 article covers all of them.

In plain terms

Error H202, plainly.

Error H202 appears when QuickBooks is set to multi-user mode but a workstation cannot establish the connection to the host computer that stores the company file. Intuit says H202 occurs when something blocks the multi-user connection to your server computer. Five causes that fit Intuit’s fix steps: Database Server Manager or its services not running on the server; a firewall blocking QuickBooks; the workstation unable to reach the server over the network; hosting set on a workstation instead of only the server; or damaged network-data (.ND) files.

The good news is that H202 is fixable. Intuit’s own route starts in QuickBooks Tool Hub: on the Network Issues tab, run the QuickBooks Database Server Manager scan on the server, which Intuit says repairs your firewall permissions automatically. If self-fix doesn’t resolve it within an hour or two, or the error recurs within days, a QuickBooks ProAdvisor diagnostic identifies the deeper cause — such as configuration past the documented surface steps. H202 is exclusive to QuickBooks Desktop, Premier, and Enterprise; it does not appear in QuickBooks Online.

§In depth

Error H202 and H505: the multi-user fix, in order.

What H202 and H505 mean, five causes, and the fix in order on the server and every workstation — set out in full below.

The full explanation, step by step — the causes, the fix in order, and when to call.

Error H202, in five questions

How do you fix QuickBooks error H202 or H505? Intuit says both occur when something blocks the multi-user connection to your server. For H202, Intuit starts on the server: run the Database Server Manager scan from QuickBooks Tool Hub, check the QuickBooks services, add firewall rules, and ping the server by name. For H505, check hosting: only the server should host. Still failing? Book a diagnostic.

What is QuickBooks Error H202?

QuickBooks error H202 is a multi-user error. The workstation can see the company file exists on a host computer, but it can’t establish the multi-user connection. It knows the file is somewhere; it just can’t reach it. H202 happens only in QuickBooks Desktop, Premier and Enterprise. QuickBooks Online is browser-based and has no equivalent multi-user hosting error.

How is H202 different from H505 and H101?

H202 and H505 are both multi-user errors, and Intuit covers them in one article. With H202, the workstation can’t connect to the host. Intuit groups H505 with H101 and H303, and says those codes mean one or more of your workstations is set to be the server for QuickBooks. Only the server, the computer that stores your company files, should host multi-user access.

What causes Error H202?

What causes H202? Intuit says it occurs when something blocks the multi-user connection to your server computer, and five causes fit Intuit’s fix steps. The first is Database Server Manager not running. It hosts company files over a network and runs on the server, and Intuit says its service must be running on the computer storing the company file, even when QuickBooks isn’t open.

Firewall blocking QuickBooks

Firewall blocking QuickBooks is the second cause: Windows Firewall or security software blocks the port or program files QuickBooks needs for multi-user communication. The third is a workstation that can’t reach the server over the network by its computer name. Intuit’s test for that is a ping from each workstation getting H202, and a failed ping is a network issue underneath the QuickBooks error.

Hosting configured incorrectly

Hosting configured incorrectly is the fourth cause. Only the server should host multi-user access, and Intuit says a workstation set to be the server shows up as H101, H303 or H505. The fifth is damaged .ND files, the network data files that let QuickBooks reach a company file in multi-user mode, mainly the server’s address and port. Intuit lists H202 among the errors they can cause.

Run the Database Server Manager scan from Tool Hub

How to fix H202 yourself starts with the Database Server Manager scan from Tool Hub. On the server, close QuickBooks and open QuickBooks Tool Hub, downloaded from Intuit. Choose Network Issues, then QuickBooks Database Server Manager, then Start Scan. Intuit says the scan repairs your firewall permissions automatically, and its next Tool Hub step runs QuickBooks File Doctor’s network check.

Verify Database Server Manager is running

Next, verify Database Server Manager is running. On the server, open Windows Services and check the QuickBooks database service, then QBCFMonitorService. Each should have startup type Automatic and status Running, with recovery set to restart the service after the first, second and later failures. If either still won’t hold, Intuit’s next step adds both services to the Windows admin group.

Add QuickBooks ports to the firewall

Add QuickBooks ports to the firewall. Create inbound and outbound firewall rules for the QuickBooks port and for the QuickBooks program files. Intuit says QuickBooks Desktop 2019 and later use a specific port assigned during installation, so read yours on Database Server Manager’s Port Monitor tab rather than using a published number. The scan in the first step also repairs firewall permissions.

Confirm hostname resolution

Confirm hostname resolution. Turn on Network Discovery, get the server’s name from the server itself, then ping the server by name from each workstation getting H202. Intuit’s instruction if there’s packet loss or a very slow reply is plain: stop, and reach out to an IT professional for help with your network. More QuickBooks steps won’t fix a network problem.

Verify hosting settings on each machine

Verify hosting settings on each machine, Intuit’s check for H101, H303 and H505. On each workstation, open QuickBooks without opening the company file, and go to File, then Utilities. If it offers Stop Hosting Multi-User Access, select it. On the server, if it offers Host Multi-User Access, select it. Then rename the .ND files on the computer that stores the file, and rescan in Database Server Manager.

Three signals it’s a ProAdvisor call

Three signals it’s a ProAdvisor call. It persists after all six steps. It keeps coming back within days, a sign of an underlying configuration problem that a one-time fix masks. Or it appears alongside other errors, such as the 6000 series, which points to deeper company-file problems. Several workstations showing H202 at once, or no admin access to the host or the firewall, count too.

What causes H202

Five causes.

The self-fix steps below address these in the same order.

Cause 01 · Database Server Manager not running

QuickBooks Database Server Manager hosts company files over a network and runs on the server as the QuickBooksDBXX service; Intuit says it must be running on the computer storing the company file even when QuickBooks isn’t open. Intuit’s H202 fix checks it first: the Database Server Manager scan, then the QuickBooksDBXX and QBCFMonitorService services on the server.

Cause 02 · Firewall blocking QuickBooks

Windows Firewall or security software blocks the port or program files QuickBooks needs for multi-user communication. Intuit’s fix is inbound and outbound rules for the QuickBooks port and program files. Intuit says QuickBooks Desktop 2019 and later use a specific port assigned during installation, shown on Database Server Manager’s Port Monitor tab — so read yours there rather than using a published number.

Cause 03 · Workstation can’t reach the server

The workstation can’t reach the server over the network by its computer name. Intuit’s test is to ping the server by name from each workstation getting H202; packet loss or a very slow reply is a network issue underneath the QuickBooks error, and one Intuit says to hand to an IT professional.

Cause 04 · Hosting configured incorrectly

Only the server should host multi-user access. Intuit says a workstation set to be the server shows up as H101, H303 or H505 — so if those codes appear alongside H202, the hosting check in Intuit’s same article applies.

Cause 05 · Damaged .ND files

Network-data (.ND) files are the configuration files that let QuickBooks reach a company file in multi-user mode — mainly the server’s IP address and port. Intuit lists H202 among the errors that problems with these files can cause, and says renaming them and rescanning in Database Server Manager creates new ones.

Past these five · When Intuit’s steps don’t clear it

If H202 survives every step Intuit gives, the cause is past the documented surface steps — the point where a diagnostic is warranted rather than more retries.

The self-fix

How to fix H202 yourself.

Six steps, in order — if all six don’t resolve it, stop and book a diagnostic.

1

Run the Database Server Manager scan from Tool Hub

On the server, close QuickBooks and open QuickBooks Tool Hub (downloaded from Intuit) → Network Issues → QuickBooks Database Server Manager → Start Scan (browse to the company-file folder if asked). Intuit says the scan repairs your firewall permissions automatically. Intuit’s next Tool Hub step runs QuickBooks File Doctor (Company File Issues) with “Check your network.” Intuit also notes Database Server Manager doesn’t support devices like Network Attached Storage (NAS).

2

Verify Database Server Manager is running

On the server, open Windows Services (services.msc) and check QuickBooksDBXX, then QBCFMonitorService: each should have startup type Automatic and status Running, with the Recovery tab set to “Restart the Service” for the first, second and subsequent failures. If either still won’t hold, Intuit’s next step adds both services to the Windows admin group.

3

Add QuickBooks ports to the firewall

Add inbound and outbound firewall rules for the QuickBooks port and program files (such as QBW32.exe and QBDBMgrN.exe). Intuit says QuickBooks Desktop 2019 and later use a specific port assigned during installation: read it on Database Server Manager’s Port Monitor tab. The Database Server Manager scan in step 1 also repairs firewall permissions, per Intuit.

4

Confirm hostname resolution

Turn on Network Discovery, get the server’s name (ipconfig /all on the server), then ping the server by name from each workstation getting H202. Intuit’s instruction if there’s packet loss or a very slow reply: stop, and reach out to an IT professional for help with your network.

5

Verify hosting settings on each machine

Intuit’s check for H101, H303 and H505, from the same article: on each workstation, open QuickBooks without opening the company file and go to File → Utilities: if it offers “Stop Hosting Multi-User Access,” select it (that workstation is set to host); if it offers “Host Multi-User Access,” don’t select it. On the server, File → Utilities: if it offers “Host Multi-User Access,” select it. Only the server hosts.

6

Rename the .ND files and rescan

On the computer that stores the company file, find the .ND files, rename them (Intuit’s example: .NDOLD), then rescan the folder in Database Server Manager. Intuit says the rescan creates new .ND files.

7

If H202 persists, escalate

If H202 survives all six steps above, stop — continued retries won’t help and can mask a deeper cause. A QuickBooks ProAdvisor diagnostic identifies the underlying configuration or file-integrity issue and resolves it against a written scope.

When to call

Three signals it’s a ProAdvisor call.

It persists after all six steps

You’ve worked the ordered fix and H202 still blocks multi-user access. The cause is past the documented surface — such as configuration or a damaged .ND/file-integrity issue.

It keeps coming back

H202 clears, then returns within days. A recurring error signals an underlying configuration or environment problem that a one-time fix masks rather than resolves.

It’s appearing alongside other errors

H202 alongside 6000-series or other codes points to deeper company-file integrity problems — the moment to stop self-fixing and have the file assessed before damage progresses.

Software, or the books?

When Error H202 is no longer a software problem.

Error H202 is a connection problem between a workstation and the server. When multi-user works again, anything still wrong lives in the data, not in the network.

  • Staff worked in a local copy while the server could not be reached.
  • Two versions of the company file now hold different transactions.
  • Work entered during the outage is missing from the shared file.

Start with the free QuickBooks file review — a limited review that identifies likely issues and the information needed for a written scope, with the findings in plain English. If the findings show that the books themselves need work, that is QuickBooks cleanup, quoted as a fixed fee against a written scope before any work starts.

Self-fix didn’t clear H202?

A QuickBooks ProAdvisor diagnoses the deeper cause — a focused diagnostic is from $1,200 — a fixed fee, set after scoping.

Who diagnoses it

A QuickBooks ProAdvisor diagnoses past the surface.

When the documented steps don’t hold, the cause lies past the surface — for example a damaged network-data (.ND) file, a multi-version conflict, a firewall rule that resets, or genuine company-file integrity damage. A QuickBooks ProAdvisor who works in Desktop and Enterprise files diagnoses the actual root cause, fixes it against a written scope, and verifies multi-user access is stable before closing.
