What New York actually requires of your books.

Most New York callers are not asking a QuickBooks question. They are asking a New York question that shows up in QuickBooks — a sales-tax setup that never accounted for the MTA surcharge, a Manhattan partnership that has never tracked UBT, or a law firm whose trust money is sitting in the operating account. These are the four we sort out most often.

Sales tax is three rates stacked, not one

New York City’s 8.875% is 4% state + 4.5% city + a 0.375% MTA commuter-district surcharge, and the surcharge follows the MTA region, not the city line.

In the file: A single 8.875% rate in the file works until the first sale outside the five boroughs. We configure the rates by jurisdiction so the return ties to the books instead of being rebuilt each quarter.

UBT is a tax most owners have never heard of

New York City levies a 4% Unincorporated Business Tax on the net income of sole proprietors and partnerships doing business in the five boroughs — separate from the personal return.

In the file: It is computed from the books, so the chart of accounts has to separate what is and is not NYC-source. Retrofitting that at filing time is where the cost comes from.

Law firms need trust accounting, not a bank account

IOLTA accounts are mandatory for New York firms holding client funds, and the bar requires client-by-client ledgers.

In the file: QuickBooks does this properly only if trust is set up as a liability with per-client sub-accounts and never touched by the operating side. Most files we open have it as a plain bank account.

Nonprofits file CHAR500 as well as the 990

The New York Attorney General’s CHAR500 is an annual filing separate from federal Form 990, with its own schedules.
